Privacy policy

Your information, kept private.

This page explains what information Empathletic collects, why, who else sees it, and how you can ask for it to be changed or deleted. In short: we only collect what we need to help you, we never sell it, and you can ask us to delete it at any time.

Who we are

Empathletic is a personal training service run by Dion Philpot in Durham, Chapel Hill and Hillsborough, North Carolina. When this policy says “we” or “us”, it means Empathletic and Dion.

What we collect

When you use the contact form, we receive:

  • Your name and email address
  • How you’d like to be contacted and what you’re interested in, if you choose these
  • Anything you write in your message

When you contact us another way (phone, text or email), we receive your phone number or email address and whatever you tell us.

When you train with us, we may keep notes that help us plan your sessions. This can include your goals, your sensory and communication preferences, and health or neurodiversity details you choose to share, plus a log of your program and what was done or not done in each session. You decide what to share. You never have to tell us about a diagnosis.

We don’t use tracking cookies, advertising tools or analytics on this website.

How we use it

  • To reply to you in the way you prefer
  • To arrange, plan and adapt your sessions
  • To log your program and progress, and to check in between sessions
  • To keep records of payments

We will never sell your information or use it for advertising. We won’t add you to a mailing list unless you ask to join one.

Who else sees it

We only share your information when it’s needed to run the service, or when you’ve asked us to:

  • Web3Forms delivers contact form messages to our email inbox. See the Web3Forms privacy policy.
  • Our email and phone providers store the messages you send us, as with any email or text.
  • Payment providers: if you pay by card or Cash App, that company processes the payment under its own privacy policy. We don’t store your card details.
  • Our web host keeps standard technical logs (such as IP addresses) to run and protect the website.
  • Google Fonts and Unsplash supply the website’s fonts and main photo. Like any website, their servers see your IP address when your browser loads them.
  • People you choose, such as a family member, caregiver or support worker, but only with your permission.

We may also share information if the law requires it, or if we believe someone is at serious risk of harm.

How long we keep it

We keep your information while you’re working with us. We’ll delete it when our services end, or sooner if you ask. The only exception is anything we have to keep by law (for example, payment records for tax).

Your choices

At any time, you can ask us to:

  • Show you the information we hold about you
  • Correct anything that’s wrong
  • Delete your information
  • Stop contacting you

Just get in touch the way that’s easiest for you. You don’t need to give a reason.

Under-18s

Empathletic welcomes clients under 18. For a client under 18, we ask a parent or guardian to be involved in getting started, and we share session information with them as agreed.

Keeping it safe

We keep your information on password-protected devices and accounts, and we only share it as described above. No method of sending or storing information is completely secure, but we take care to protect yours.

Changes to this policy

If we change this policy, we’ll update it on this page and change the date below.
